Masaq Hub

Masaq Hub · Condo management platform

Your building’s memory, searchable in plain language.

Every condo corporation loses its own history — when the roof was done, why the board said no last time, what the engineer wrote in 2019. Masaq Hub captures it with near-zero effort and makes it answerable, alongside everything a building needs day to day.

Assistant

When was the garage membrane last done, and what did the engineer say?

Looked up: Documents · 6 found

Read: Garage membrane close-out report — 2019…

Read: Board minutes — Sept 2019…

The garage membrane was replaced in August 2019. The engineer’s close-out report recommends the next condition assessment in 2029 and notes the drainage work carries a ten-year warranty.

The problem

The record lives in mailboxes, not in a system.

A new director joins the board and asks a simple question: when was the garage membrane last done, and what did the engineer say about the next one? Nobody knows. The director who ran that project left two years ago. The previous management company took its systems with it. The answer exists — in a PDF, attached to an email, in somebody’s personal inbox, possibly deleted.

So the board pays an engineer to re-answer a question it already paid to answer once.

The cost of the status quo

  • Repeated engineering studies for questions already answered
  • Decisions relitigated from scratch after every board turnover
  • Warranty and reserve-fund history lost between managers
  • Slow or failed responses to owners’ records requests
  • Every management transition resetting the building’s knowledge to zero

How it works

Capture costs one address in the CC line.

1

CC one address

Every building gets its own mailbox. Managers, engineers, contractors, and lawyers keep working exactly as they do today — they just add the building's address to the CC line. Every message and every attachment is kept, OCR'd (scans and photos included), summarized, and indexed.

2

A person confirms the filing

Nothing becomes visible or quotable until someone confirms where it belongs and who can see it. The system suggests a folder and an audience; a manager or director approves with one click. Unconfirmed material stays quarantined — the assistant won't treat it as authoritative.

3

Ask in plain language

“When was the garage membrane last done, and what did the engineer say?” The assistant answers from your building's own documents and always cites its sources — and it can only read what the person asking is already allowed to see.

An honest note on where this stands: capture is automatic — nothing that reaches the mailbox is ever lost, and every scan becomes machine-readable. Making a document findable takes a moment of human filing, and we’re automating more of that step next.

Why Masaq Hub

Built for the people responsible for the building.

An assistant that has actually read your building

Documents, scans, and photos are OCR’d and indexed on arrival. Meeting recordings are transcribed into minutes. Recurring figures — like the reserve-fund balance across monthly statements — are extracted into charts. Then anyone can ask a question and get an answer grounded in those records, with the source cited every time.

Bounded by your permissions, by design

The assistant runs inside the same permission system as the rest of the platform. A resident’s question can only be answered from what that resident is allowed to see; a director’s, from what the board can see. Nothing crosses between buildings.

Every building is different — that’s configuration, not a change request

Concierge parcel logs, bike storage, a fob-and-key register with approvals — building-specific modules are configured from a catalogue in hours, not custom-coded over months. We build them with you during onboarding.

Shared facilities across linked buildings

Shared visitor parking, a pool serving two towers, a common-element corporation running amenities for three. Masaq Hub links multiple corporations while each manager keeps control of their own building — and residents of every linked building book from the same app.

Records requests are not hypothetical

Records disputes are the largest category of cases at Ontario’s Condominium Authority Tribunal.

Ontario corporations must respond to an owner’s records request within statutory timelines, on a prescribed form. A building whose records are captured, organized, and searchable can answer inside the window instead of missing it. (This is context, not legal advice — talk to your corporation’s counsel about your obligations.)

164/341

cases accepted by the Tribunal in 2024–25 were about condo records — per the Condominium Authority of Ontario’s annual report

One platform, every seat

Everyone in the building is a user.

For boards

Your building's history, in one place, answerable in seconds.

Boards change. Managers change. Your building's memory shouldn't. Masaq Hub keeps every document, decision, and meeting — so a new director can get up to speed in an afternoon instead of a year.

For property managers

Fewer emails asking what's already in the rules.

Residents ask the app, not you. When you take over a building, you can actually read what happened before you. And nothing changes about how you work, except one address in the CC line.

For residents & owners

Ask the building anything.

Rules, hours, forms, procedures — get an answer immediately instead of waiting on an email. Book the party room, register a visitor's car, submit a request, and see what's happening in your building.

For management companies

Standardize your portfolio. Win more RFPs.

One platform across every building you manage, configured to each building's actual quirks in hours instead of change requests. “Your records stay searchable” is a line your competitors can't put in a proposal.

And the day-to-day
